The COVID-19 pandemic has turned customer behavior upside down. As social distancing becomes the only way to stay safe from the novel coronavirus, businesses have begun to rely heavily upon doorstep and contact-free delivery. This means doing away with paper and signature based invoices and delivery notes.

The future of e-commerce, supply chain, and the entire delivery system

COVID-19 has changed the e-commerce, supply chain, and delivery system. As scientists and researchers predict that the coronavirus threat would continue for years to come, thermal checking, sanitization, and social distancing remain of paramount importance to stay protected from the virus. These practises are likely to continue even after the coronavirus pandemic turns into an endemic. Supply chain companies thus need to recognize the importance of contactless delivery.

So, what is electronic proof of delivery?

An electronic proof of delivery or e-POD is the delivery order in an electronic format, usually a digital PDF, instead of a physical piece of paper.

One can opt for multiple methods for proof of delivery. At Intugine, we provide contactless options like OTP , link,  missed call and whatsapp based e-pod verifications.

This electronic document then gets directly fed to your Enterprise Management System and Transport Management Systems or any other module you use to manage your invoices and finances.

The rise in online deliveries

Since the pandemic onset, customers are relying heavily upon online shopping over brick-and-mortar stores. The Indian e-retail market is primed to reach nearly 300 to 350 million shoppers over the next five years—propelling the online Gross Merchandise Value (GMV) to $100 to 120 billion by 2025.

Even small retail businesses have started investing heavily in direct to customer (D2C) online stores and apps to keep their business afloat. For hyperlocal deliveries, many retail companies are partnering with third party logistics businesses.

Traditionally, a delivery person has to manually fill out the paperwork, get the signature of the customer and return it back to the transporter’s office to be safely recorded. But COVID 19 has entirely disrupted this system. Apart from delay and the risk of human errors, such manual paperwork also means more physical contact between the delivery person and the customer, thus risking spread of  the virus. An e-POD system can help businesses ensure safety of both customers and delivery executives while providing tangible business benefits.

How does an e-POD work?

An e-POD solution is implemented along with Enterprise Requirements Planning Systems (ERP) and Transport Management Systems (TMS). It enables the electronic exchange of transaction details, including shipping details, product specifications, purchase orders, invoices, etc., thus minimizing physical contact.

There are many ways of generating an e-POD

Other benefits of an e-POD

  1. It helps in faster invoicing, and payment cycle since the updates are real-time. Additionally, e-PODs can help in easier accounting at the end of the month making the whole process faster and smoother.

  2. Since you can do away with many manual tasks like sorting and filing of paper based invoices, it reduces the chance of human error and streamlines the process.

  3. It increases the visibility in your supply chain as you get the proof of delivery real-time. The e-pod gets automatically reflected on your ERP or TMS.

  4. e-PODs are typically stored in a centralized system, which means you can access historical records with ease.

  5. A digital e-POD wows a customer, especially in COVID times, when everyone is skeptical of physically touching or signing a document.

Key takeaways

As scientists predict that COVID-19 is here to stay for some time (even the vaccines are effective only for a period of 3 months or so) , the retail consumers have no other choice but to rely upon online shopping and doorstep delivery. To keep their business afloat, enterprises are moving to online mode rapidly. Some are already working with last leg delivery companies to make online delivery smooth, efficient, hassle-free, and safe for everyone. An e-POD is set to become an integral aspect of  this transition to safe deliveries, while also adding greater efficiency to the entire delivery process.
